Technical Tours Application

Thank you for your interest in hosting a technical tour in conjunction with AIHce EXP 2021 in Dallas. Complete the items below for each tour you will host.​

All tours will depart from and return to the Kay Bailey Hutchison Convention Center Dallas (KBHCCD) at the designated Technical Tour Check-In location. When estimating travel time and the tentative schedule, please be sure to use KBHCCD as the start and end location.

Provide the name of person coordinating tour logistics and planning.
Provide the email address of person coordinating tour logistics and planning.

Provide the cell phone number of person coordinating tour logistics and planning (format as XXX-XX-XXXX).
Provide name for the contact who will be on-site on the day of the tour.
Provide the email address for the contact who will be on-site on the day of the tour.

Tour Details

Provide an answer for each question.
Select your first choice of date.
Tours should not exceed four (4) hours, including travel time.
Copy must be 150 words or less; AIHA reserves the right to edit copy.
Provide a detailed itinerary/plan of the tour to include expected times for Departure from Convention Center, Arrival at tour site, Tour Start and End, Departure from tour site, and Return to Convention Center.
Due to social distancing precautions, tours must have a minimum of 10 participants and are restricted to a maximum of 30 participants.
If tour capacity is reached, are you willing to offer a second tour?
If tour capacity is reached, are you able to increase the tour capacity size?

Tour Transportation

Provide answer for each question.
Will you provide a company shuttle to and from the Convention Center? Select “No” if you need AIHce to provide shuttle transportation.
Will the on-site contact board the shuttle at the center with the participants?
Will on-site transportation (other than the shuttle taking guests to/from the convention center) be provided while participants are on the tour?
For shuttles provided by AIHce, do you require any special accommodations (i.e., sound system, seat belts, etc.)?
List here any requirements you have for special accommodations for AIHce shuttles (i.e., sound system, seat belts, etc.)
Give specific instructions on these locations.
Give specific staging area information for AIHce shuttles to park.
Detail the security measures required by the facility, such as background check required, proof of citizenship, etc. Indicate if attendees must be US citizens to participate. If no requirements, answer with N/A. Note: once the tours are published in registration system, security requirements cannot be increased.
List any special considerations, such as stair climbing, excessive walking, special clothing, etc. Indicate if PPE or other equipment is required, and specify if facility will provide. If no requirements, answer with N/A.
Does the facility require a roster in advance of the tour?
Provide due date by which the facility needs the roster.
List any other details or notes that have not been addressed that AIHA should know regarding this tour.
