Hotel Cancellation Policies

All reservations must be guaranteed with a credit card (American Express, VISA, or MasterCard) valid through May 2023. If a valid credit card number is not provided, the reservation will automatically cancel.
Your credit card may be charged if:
- you do not check in at the hotel on the scheduled arrival day
- you shorten your scheduled departure after checking in
- you do not cancel your reservation within the hotel’s cancellation window
Renaissance Phoenix Downtown and Sheraton Phoenix Downtown cancellation policy: Failure to check-in on your scheduled arrival date or cancellation within 3 working days of that date will result in a cancellation fee equal to one night’s room and tax charged to the credit card provided and cancellation of any remaining nights of the reservation.
Cancellation policy for all other properties: Failure to check-in on your scheduled arrival date or cancellation within 48 hours of that date will result in a cancellation fee equal to one night’s room and tax charged to the credit card provided and cancellation of any remaining nights of the reservation.
New reservations will be accepted by AIHce until Wednesday, May 3 at 5:00 p.m. ET.
Requests to change or cancel an existing reservation are also accepted online or in writing to AIHce EXP 2023 Housing Customer Service until Wednesday, May 3 at 5:00 p.m. ET. No cancellations will be accepted by phone.
Do not contact the hotel directly. Prior to May 4, the hotel will not have access to your reservation. Rest assured, if you have received a confirmation from AIHce, you have a room secured at the hotel you selected.
On or after May 4, reservation information will be transferred to the hotels. At this time you may contact the hotel directly for date changes, cancellations, and new reservations. Room availability and rates for new requests are subject to the hotel’s discretion.
When canceling a reservation, obtain a cancellation number, date, and the name of the agent. In case of difficulty, contact AIHce Customer Service for assistance.
Registration fees and hotel charges will not be refunded to “no shows.”
